Job Description

To assist Manager Contracts for the effective and efficient administration of contract management, drafting, and activities.

Job Responsibilities

  • Set up and maintain administrative arrangements for effective and efficient contract management.
  • Ensure that all Council policies, procedures, and contract mechanisms are properly applied by the procurement team, delivery units, and delivery partners.
  • Develop effective relationships with delivery units and delivery partners.
  • Maintain accurate and up-to-date logs of issues, risks, change controls, actions, and meeting minutes, and ensure that actions are followed up in a timely manner.
  • Ensure that contracts and proposals are properly entered into organizational databases and are securely maintained.
  • Assist in the development of standards for contracts, including budget presentation, payment terms, general language, and provisions.
  • Draft contractual provisions based on strategy discussions and senior management input (Manager Contracts).
  • Ensure the accuracy and appropriateness of contract text and attachments.
  • Liaise with insurance companies regarding adequacy of coverage and purchasing needs.
  • Ensure payments are accurate and reflect agreed performance and payment mechanisms.
  • Monitor contractor compliance with relevant legislation, statutory duties, and Council policies to manage risk appropriately.
  • Respond to internal audit reviews and implement action plans within agreed deadlines.
  • Perform such other duties as may be assigned by the Director Procurement & Contracts and Manager Contracts from time to time.

Qualification:

 16 years of formal education with a degree in Supply Chain Management / Business Administration / Public Administration / Project Management / Economics from HEC recognized institute.

Experience:

Fresh graduates are encouraged to apply. Preference will be given to those who have working experience in contract management / negotiations of contract terms & conditions and compliance.
